Event Graphics & Proofing
Custom graphics, overlays, and digital content are included as outlined in your selected package or booking agreement. Each design is personally curated for your event, with customization based on your theme, preferences, and requested details. Proofs will be provided before finalization. Clients must review all names, dates, spelling, wording, colors, and layouts and provide written approval by the communicated deadline. Delayed responses may affect available customization or completion. Changes requested after approval may incur additional fees, which will be disclosed before work begins. Pose OKC Moments will correct errors we introduce after approval at no additional charge.

Event Setup & Service Requirements
Clients are responsible for coordinating venue access and providing the agreed setup space, adequate setup and breakdown time, and a suitable power source when required. Outdoor setups require a safe, level location and appropriate protection from weather. Internet availability and venue conditions may affect instant sharing; delayed digital delivery may be necessary when connectivity is limited.

Liability & Equipment Use
Clients and guests must treat equipment with care and follow attendant instructions and posted safety rules. Clients are responsible for reasonable, documented repair or replacement costs for damage caused by misuse or negligence by the client or their guests, excluding ordinary wear or equipment defects. Pose OKC Moments may pause or discontinue service when conditions are unsafe or equipment is being misused.

Service Interruptions
Pose OKC Moments will make reasonable efforts to resolve equipment problems and restore interrupted services. Weather, venue power outages, internet outages, and other circumstances beyond our reasonable control may affect service. If a booked service cannot be provided, any applicable extension, credit, or refund will be handled under our Return & Refund Policy.

Image Use
Event photos and videos are captured for delivery to clients and participating guests. Promotional use of identifiable images requires permission from the individuals depicted or, for minors, their parent or legal guardian. A booking client’s approval does not replace individual guest permission. Clients may request that their event be excluded from promotional use by notifying us in writing before the event. Promotional permission is optional and does not affect booked services.

General Terms
These terms, together with the accepted booking agreement and any documents expressly included in it, describe the agreed services and responsibilities. Changes must be documented in writing and accepted by both parties. Bookings may not be transferred or assigned without prior written consent from Pose OKC Moments.

Deposits & Booking Confirmation
A $150 deposit is required to secure an event booking. Equipment rentals require a deposit equal to 50% of the rental total. Deposits are applied toward the total booking price. Your date is secured once the required deposit and booking agreement are received. Deposits are non-refundable when the client cancels, except as expressly stated in the booking agreement.

Cancellations & Rescheduling
Clients must notify Pose OKC Moments in writing at least three days before the scheduled event to request cancellation or rescheduling. A deposit may be transferred to a rescheduled date, subject to availability and written approval. Changes to the package, location, or scope of service may affect pricing. Requests received with less than three days’ notice will be handled according to the booking agreement.

Provider Cancellations & Unavailable Services
If Pose OKC Moments cancels and provides no booked services, payments for those services, including the deposit, will be refunded unless the client agrees in writing to reschedule or accept a credit. If only part of the booking can be provided, any refund will reflect the affected services and services already completed.

Service Interruptions
If an interruption materially reduces a booked service, we will review the affected service and duration and offer an appropriate service extension, credit, or proportionate refund. Any extension is subject to venue access and availability. Internet delays that only postpone digital delivery do not automatically qualify for a refund when the captured content is subsequently delivered.

Equipment Damage
Refunds do not waive responsibility for equipment damage caused by misuse or negligence. Any damage charges will be based on reasonable, documented repair or replacement costs. Ordinary wear and equipment defects are excluded.

Graphics & Digital Products
Approved custom graphics and delivered digital products are generally non-refundable. Clients are responsible for errors present in the proofs they approved. If we deliver a file that differs from the approved proof or contains an error introduced by us, we will correct it at no additional charge. If we cannot provide the agreed deliverable, an appropriate refund will be issued for the affected item.

Refund Requests
Contact Pose OKC Moments with your booking details and a description of the concern. Approved refunds will be returned through the original payment method whenever possible. Processing times depend on the payment provider.

Information We Collect
We collect information you provide when submitting an inquiry, booking services, requesting customization, or using photo and video sharing features. This may include your name, email address, phone number, event details, design preferences, and event photos or videos. Payment information is handled through our payment provider according to its privacy and security practices.

How We Use Your Information
We use your information to respond to inquiries, manage bookings and payments, create personalized graphics, provide event services, deliver photos and videos, and communicate about your booking. Contact information submitted for photo delivery is used for that purpose and is not automatically added to a marketing list.

Sharing of Information
We do not sell your personal information. We may share information with service providers as needed to process payments, manage bookings, host galleries, deliver digital content, or provide technical support. We may also disclose information when required by law.

Photos, Videos & Event Galleries
Captured photos and videos may be delivered to the client and participating guests through digital sharing or an online gallery. Depending on the gallery settings, anyone with access to the gallery link may be able to view or download its content. Please discuss privacy or restricted-access needs with us before your event.

Promotional Use
We obtain permission before using identifiable photos or videos for promotional purposes, including our website, social media, and marketing materials. For minors, permission must come from a parent or legal guardian. Clients may request that their event be excluded from promotional use in writing before the event.

Data Security & Retention
We take reasonable measures to protect personal information, but no online storage or transmission method is completely secure. We retain information as needed to provide services, maintain business records, and meet legal obligations. Online galleries are not permanent storage; clients should download and back up their event content promptly.

Your Requests & Choices
You may contact us to request access to, correction of, or deletion of your personal information, or to ask about promotional permissions. Certain records may need to be retained for legal, accounting, or contractual purposes. We cannot control copies that guests or other recipients have already downloaded or shared.
